ATOM Signatures or HiHello: which one for a Canadian organization?

HiHello is a US digital business card, signature and lead capture platform hosted in Iowa. ATOM Signatures is a Microsoft 365 signature manager hosted in Canada that also gives each employee their card in Apple Wallet or Google Wallet. Here is how the two compare.

HiHello is a US brand identity platform: digital business cards (QR code, NFC, Apple Wallet and Google Wallet), email signatures deployed to Gmail and Outlook, virtual backgrounds, a company directory and lead capture. ATOM Signatures is a Microsoft 365 signature manager, hosted in Canada, that inserts the right signature in Outlook and also gives each employee their business card in Apple Wallet or Google Wallet. This comparison is for Canadian organizations on Microsoft 365.

Verdict: for a Canadian organization on Microsoft 365 that wants managed Outlook signatures and a Wallet business card for every employee, ATOM Signatures is the default choice — Canadian hosting, Outlook mobile included, and CAD $1 per user with no minimum, against US $5 to $6 at HiHello with a 5-user minimum. HiHello keeps the edge if you also run Gmail, or want lead capture, a company directory and virtual backgrounds in the same tool.

Comparison table: ATOM Signatures vs HiHello

Both solutions manage signatures centrally, without routing email through their servers, and give each employee a business card on their phone. Here are the differences that matter to a Canadian organization.

What does HiHello bring?

HiHello brings together in one tool everything that carries the employee's image:

  • Digital business cards: sharing by QR code, widget, email, SMS and WhatsApp, Wallet, NFC, card templates and verified cards on the Enterprise plan.
  • Signatures and banners: a signature manager synced with Entra ID, Google Workspace and Okta, deployed to Gmail and Outlook, with legal disclaimers, banners scheduled by team and signature analytics.
  • Capture and contacts: a card and badge scanner, contact enrichment, forms with consent, event lead capture and CRM integrations.
  • Beyond email: virtual backgrounds for Zoom, Teams and Meet, a company directory, and SAML and SCIM on the Enterprise plan.

HiHello is therefore a serious competitor on signatures themselves. For an organization that only needs Outlook signatures and a Wallet card, the other modules go unused, but are paid for in the plan.

Where ATOM stands out for a Canadian organization

  • Hosting in Canada: HiHello hosts its data in Iowa; ATOM keeps it in Canada. If an employee adds their card to Google Wallet, that card's content is stored by Google — our privacy policy says so.
  • Outlook mobile included: the ATOM add-in inserts the signature on Outlook for iOS and Android, as well as Windows, the web and Mac; HiHello's page mentions desktop and web.
  • A signature that follows the context: ATOM picks the signature by group, shared or delegated mailbox and internal or external recipients, at compose time.
  • Priced in Canadian dollars, no minimum: CAD $1 per user per month, signatures, campaigns and Wallet card included, from the first user.
  • Natively bilingual FR-CA / EN-CA: product, editor and support.

Price: US dollars with a minimum, or Canadian dollars with none

HiHello Business, the plan that includes signature deployment, costs US $5 per user per month billed yearly (US $60 a year), or US $6 billed monthly, for 5 to 100 users; the price drops from 26 and then 51 users. Beyond 100 users, the Enterprise plan is custom. A Professional plan at US $6 per month (US $8 billed monthly) targets a single person.

ATOM Signatures applies a single rate: CAD $1 per user per month, or CAD $12 per year, all features included, with no minimum. For a Canadian organization, the gap comes from the unit price, the currency and the 5-user minimum together. Details on our Pricing page.

Where does HiHello host your data?

HiHello states that all data is hosted on Google Cloud US-Central, in Iowa, with encrypted multi-region backups kept for 60 days, and that its service providers and partners operate in the United States. For an organization subject to Quebec's Law 25, PIPEDA or a provincial law, this is a disclosure of personal information outside Canada to assess before deployment.

ATOM Signatures hosts its data in Canada and inserts the signature client-side: email never leaves Microsoft 365. The Apple Wallet card is downloaded to the employee's phone; the Google Wallet card is stored by Google, possibly outside Canada, and only if the employee chooses to add it. See the guide to Canadian data hosting and the one on routing-free architecture.

When HiHello can fit

  • You also run Google Workspace and want one tool for Outlook and Gmail.
  • Your sales teams need to capture leads at trade shows and push them into the CRM.
  • You want to manage virtual backgrounds, a company directory or cards for your franchisees and partners in the same tool.
  • Your security requirements call for SOC 2 Type II, SAML or SCIM, and US hosting is not a constraint.

If your need is each employee's Outlook signature and Wallet business card, ATOM Signatures meets it, hosted in Canada, for a fraction of the price. To widen the comparison, see ATOM vs Blinq and our analysis of the best signature software in Canada.
